Camera-Ready Submission and IEEE Copyright Instructions

Please note that all dates and times on this page are in Japan Standard Time (JST).
Please follow the instructions below to prepare, validate, and submit your final camera-ready paper and the IEEE Electronic Copyright Form. Both must be completed and uploaded to the FG 2026 CMT site by 21 April 2026 (11:59 pm JST).
All papers accepted to the main conference MUST have at least one full (non-student) registration by 21 April 2026 (11:59 pm JST). A student author can register at the student rate only if another co-author has registered at the full rate. A student registration does not cover a paper. Papers without a valid registration by this deadline will not be included in the proceedings.
One full (member or non-member) registration covers 1 main conference paper + 1 workshop paper. Workshop papers can also be covered by a student registration. Workshop registrations are valid for 1 day on the selected workshop date and also cover 1 workshop paper. No social events are included in the one-day workshop registration. Please refer to the registration page for additional information.
There are four required steps to complete your final FG 2026 paper submission:
- Prepare your final camera-ready paper
- Validate your camera-ready paper using IEEE PDF eXpress
- Submit the validated PDF and paper information to CMT
- Complete and submit the IEEE Electronic Copyright Form
Step 1: Prepare Your Final Camera-Ready Paper
Please carefully prepare your camera-ready submission according to the following requirements:
Undo anonymization used during the double-blind review process.
Ensure that:
- Author names and affiliations are restored
- Acknowledgements and self-citations are reinstated
- Any redactions are removed
Revise your paper to address reviewer comments, at your discretion.
Paper length requirements:
- Regular papers: maximum of 8 pages, excluding references
- Formatting must strictly follow the FG 2026 Author Kit
Submission format:
- PDF only
- Maximum file size: 10 MB
- Do not include page numbers in the camera-ready PDF
Substantive changes:
- Do not make major changes to the body of the paper beyond addressing reviewer feedback or clarifying presentation.
Copyright Notice
Each paper must include the appropriate IEEE copyright notice at the bottom left of the first page.
Use one of the following notices, depending on the employment status of all authors:
- U.S. Government authors only:
U.S. Government work not protected by U.S. copyright
- Crown government authors only (UK, Canada, Australia):

Word Instructions
- Add the FG 2026 header using the font Times New Roman with a font size of 9pt. Access the header via the menu: View → Header and Footer

Update the Copyright Clearance Code Notice in the footer according to your employment category. Use the font Times New Roman with a font size of 8pt.

Step 2: Validate Your Paper Using IEEE PDF eXpress
Before Creating a PDF Proofread your source document thoroughly to confirm that it will require no revision.
Creating your PDF eXpress Account Log in to the IEEE PDF eXpress® site
First-time users should do the following:
- Create Account
- Enter the following:
- 67764X for the Conference ID
- your email address
- a password
- Continue to enter information as prompted.
An Online confirmation will be displayed, and an email confirmation will be sent verifying your account setup.
Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
Contacting PDF eXpress Support
Access the IEEE Support Center for IEEE PDF eXpress.
If you do not find an answer to your question on the IEEE Support Center, please email PDFSupport@ieee.org.
Once validated, download the PDF eXpress-certified PDF for submission.
Step 3: Submit the Final Camera-Ready Paper in CMT
- Log in to the FG 2026 CMT Author Console
- Your accepted paper(s) will show a “Create/Edit Camera Ready Submission” link
⚠️ Do NOT submit the IEEE Copyright Form yet
On the camera-ready submission page:
- Verify that the title and abstract exactly match the camera-ready PDF
- Author list edits are disabled
- Any author changes must be approved and applied by the Program and Publication Chairs
File naming requirement:
- Name your PDF as XXX.pdf, where XXX is your three-digit paper ID
- Example: paper ID 20 → 020.pdf
Upload the PDF eXpress-validated file and submit.
Step 4: Complete the IEEE Electronic Copyright Form
⚠️ Important — this step can only be completed once per paper
Before proceeding, ensure that:
- Paper title
- Author list
- Affiliations
are final and correct in CMT.
To submit the form:
- Click Submit IEEE Copyright Form in the CMT Author Console
- You will be redirected to an IEEE website to complete the form
- Download the completed copyright form
- Upload it back to CMT following the instructions for submitting copyright forms
⛔ IEEE does not allow corrections or resubmissions of copyright forms.
Papers without a completed copyright form will NOT appear in the proceedings and will NOT be indexed in IEEE Xplore.
